A deposit is protected by process: clear contract conditions, a precise check-in record, controlled works, immediate incident reporting, planned cleaning and reinstatement, and a signed check-out. The evidence should distinguish pre-existing condition from project damage.

Many exit disputes begin with a change that was assumed to be harmless: vinyl, drilling, paint, adhesive, furniture movement or an extra supplier. Route every proposed modification through the named approval process before work.

Venue handover checklist.

Use it at entry, during daily close and at final exit.

Read the contract provisions for deposit, deductions, evidence, reinstatement, timing and dispute notices.
Create an indexed condition record before any supplier or delivery enters.
Reconcile keys, access devices, furniture, technical items and published inventory.
Protect the street-to-room route, common areas, floors, walls, corners and lifts.
Maintain written approvals for every work, fixing, vinyl, paint or material change.
Log incidents immediately with time, location, people, images and corrective action.
Schedule removal, waste, cleaning, repairs and a buffer before joint check-out.
Record signed handover, retained issues, cost evidence requested and deposit-release follow-up.
