Describe the exposure, not only the event name.
“Pop-up” can mean a quiet appointment room or a public retail operation with a build.
Public, guests, staff and contractors
State attendance, public or invited access, live hours, queuing, hospitality and the teams working during installation and removal.
Venue, stock, equipment and finishes
Identify merchandise, borrowed equipment, scenic elements, owner inventory and any high-value or fragile items requiring specific discussion.
Retail, build, food, sound and special operations
Sales, fitting, alcohol, demonstrations, suspended elements, hot works or unusual product testing materially change the question sent to the insurer.
The certificate should describe the real project.
A useful document identifies the insured entity and coverage period and is consistent with the address and activities requested by the venue. Any mismatch should be resolved before access.
