Booking payments and security deposits solve different problems. One pays for the venue according to the contract; the other protects against defined risks and should follow a stated return process. Late internal approval
A viable option can expire while contract, finance and signatory decisions move between teams. Name the approver, signer, payer and backup before a live deadline arrives.
Deposit mistaken for rental payment
A refundable security line is not necessarily part of the venue price, and a booking payment is not automatically security. Keep purposes, accounting and return expectations separate.
Refund process left undefined
Bank details, handover evidence, deduction review and return timing should be known before payment. Chasing them only after the event creates avoidable delay and dispute.
Stress-test the maximum cash tied up before opening.
Map every payment, deposit, production commitment and tax date. The peak cash requirement may occur before the project delivers any commercial return. A cheaper venue with a harsher schedule can create more exposure than a higher-priced option with clearer milestones.
