Venue option, hold and confirmed booking explained
An enquiry, option, hold and confirmed booking are not interchangeable. Terminology and legal effect vary by property and agreement, so the only safe method is to record the exact dates, rank, expiry, challenge process and conditions that move the venue into a binding confirmed status.
Four lines to record every time
A status without dates and conditions is too vague to manage.

Use a written status register.
The labels below are common working concepts, not universal legal definitions.

Manage dates as a controlled commercial record.
A calendar note is not enough for a time-sensitive Paris project.
Record the full occupation
Installation, tests, guest or appointment days, removal, cleaning and handover can conflict even when public opening dates do not. The held period must match the actual project.
Name who can commit
Brand, agency, production and finance should know who approves terms, signs, pays and responds to a challenge. A delay inside the client team can release a viable venue.
Keep one written source of truth
Log status, rank, expiry, notice channel, outstanding conditions and the latest supporting email or document. Avoid relaying an option as confirmed through informal messages.
A short deadline changes the decision process, not the evidence standard.
Fashion Week and other high-demand periods can compress response times. The useful preparation is earlier authority, budget clarity, insurance readiness and an acceptable fallback—not treating ambiguous language as security.
