AMONT · COMMERCIAL STATUS GUIDE

Venue option, hold and confirmed booking explained

An enquiry, option, hold and confirmed booking are not interchangeable. Terminology and legal effect vary by property and agreement, so the only safe method is to record the exact dates, rank, expiry, challenge process and conditions that move the venue into a binding confirmed status.

Four lines to record every time

A status without dates and conditions is too vague to manage.

01 · Period
Access through handover
02 · Rank
First, second or unranked
03 · Expiry
Exact date and time
04 · Confirm
Outstanding conditions

Use a written status register.

The labels below are common working concepts, not universal legal definitions.

StatusWhat it can meanWhat to ask in writingAction
Enquiry / requestThe dates and use have been submitted for an availability or suitability responseWhich occupation dates, use, guest model and decision deadline are being checked?Do not present the property as reserved
Soft hold / courtesy holdThe operator may note interest temporarily without a binding commitmentIs the venue withheld from others, for how long and under which conditions?Continue qualification and obtain the next required step
First optionOne party may have priority for stated dates subject to agreed rulesExact period, expiry, challenge mechanism, response time and confirmation conditionsPrepare contract, payment, insurance and decision authority before challenge
Second or later optionAnother party may be ahead for overlapping datesRank, overlap, whether the earlier option can be challenged and notification methodMaintain a viable alternative and avoid assuming promotion
Challenge / release requestA competing request may trigger a deadline for the current option holderWho initiates, how notice is delivered, response duration and required confirmation evidenceEscalate internally immediately and answer only through the agreed channel
Confirmed bookingThe property has reached the binding state defined by the agreementSigned documents, cleared payments, deposit, insurance, guarantees and remaining conditionsStore evidence, freeze dates and move to operational handover

Manage dates as a controlled commercial record.

A calendar note is not enough for a time-sensitive Paris project.

Scope

Record the full occupation

Installation, tests, guest or appointment days, removal, cleaning and handover can conflict even when public opening dates do not. The held period must match the actual project.

Record · first access to release
Authority

Name who can commit

Brand, agency, production and finance should know who approves terms, signs, pays and responds to a challenge. A delay inside the client team can release a viable venue.

Record · person + backup
Evidence

Keep one written source of truth

Log status, rank, expiry, notice channel, outstanding conditions and the latest supporting email or document. Avoid relaying an option as confirmed through informal messages.

Record · timestamp + document

A short deadline changes the decision process, not the evidence standard.

Fashion Week and other high-demand periods can compress response times. The useful preparation is earlier authority, budget clarity, insurance readiness and an acceptable fallback—not treating ambiguous language as security.

01 · Prepare
Pre-clear the decision rangeAgree acceptable dates, total budget, formats and non-negotiable conditions before the shortlist lands.
02 · Verify
Ask the same status questionsPressure is not a reason to omit rank, expiry, challenge, contract, payment or use approval.
03 · Compare
Keep a qualified alternativeA second property protects the programme when the preferred hold cannot convert in time.
04 · Close
Request written confirmationAfter each completion step, obtain the operator's current status and any remaining condition.

Option-to-confirmation checklist.

Use it for every property under active consideration.

State the complete occupation period, not only public or appointment dates.
Confirm proposed use, audience model, guest count, technical build and relevant restrictions.
Record whether interest is an enquiry, soft hold, ranked option or another status.
Ask for rank, exact expiry, challenge process, response time and notice channel.
List contract, payment, deposit, insurance, guarantee and approval requirements.
Name the client decision-maker, signer, payer and backup responder.
Maintain a live alternative until confirmation evidence is received.
Store the final written confirmation and reconcile it with contract dates and access conditions.

AMONT · PARIS VENUE SOURCING

Send dates, use and decision timing in one brief.

AMONT can source and compare relevant public and private options, clarify property-specific status and conditions, and keep the shortlist aligned with the client's decision timetable. A venue is treated as confirmed only when the required written conditions are complete.
