How to build a Fashion Week showroom appointment calendar
A useful appointment calendar is a capacity model, an operating document and a commercial record. Choose meeting types, then add the transition needed for reception, room release, sample return and notes. A 30-minute conversation may require a longer calendar unit if the same team and zone must recover before the next guest.
Count operational rooms, not furniture
Two tables are not two meetings when they share one host, one collection edit, one order device or one acoustic zone. Capacity is the smallest limit across room, people, product and technology.
Keep resilience for priority changes
Protect breaks, floating capacity or selected flexible slots. A calendar booked to its theoretical maximum has no answer for a late flight, high-value overrun, staff absence or follow-up meeting.
Use status rules everyone understands.
A proposed time is not a confirmed appointment, and a confirmation is not attendance. Define statuses, who can change them and how updates reach sales, reception, sample and operations teams.
